Creating a Custom Export for use in Southeast Florida - SEFMLS / MLXchange

  • First thing you'll need to do is get into the results of a residential search.
  • Once you're in the results of a search click on the 'Column Manager' icon toward the top left.
  • Select 'Create New Column Report'.
  • Name the grid 'TrendSheet 4'.
  • Click on each of the following categories individually and click the Right Arrow each one to get them to appear in the right window. Once you are done, the categories will appear on the right side of the window and they must be in the same order as below:
    • ML# (ML#)
    • Status (STATUS)
    • List Price (LP$)
    • Sale Price (SP$)
    • Status Change Date (STATUS CHNG)
    • Entry Date (Entry Date)
    • Closing Date (CD)
    • DOM (DOM)
    • Pending Date (PD)
    • REO (REO)
    • Short Sale (SSL)
    • SqFt Liv Area (LA)
    • Design Description (DESGN DESC)
    • Year Built (Yr)
    • Pool (POOL)
    • Pool Description (POOL DESC)
    • Seller Contributions Amt (Seller Contr Amt)
    • Approximate Lot Size (LT)
    • #Beds (#BEDS)
    • #FBaths (#FB)
    • #HBaths (#HB)
    • #Garage Spaces (#GAR)
    • #Carport Spaces (#CPT)
  • Once the list is complete and in the above order click 'Save' and then click 'Done'.
  • In this MLS system it is necessary to have a separate export for condominium searches. Click here for the condominium fields.


How to Export your Data

  • Verify that the search you are exporting includes every type of listing ( all variations of active, contingent, pending, closed, expired, canceled, etc but not including leased) for at least one year back from the effective date you're using.  It is better to go further back than one year to verify that all relevant listings are included so I recommend going 2.5 years back (since TrendSheet 4 analyzes two years worth of data).
  • At the bottom left click the green arrow next to 'Export Data'.
  • Verify that 'All Records' is selected.
  • For 'Data Export Format:' you should select 'Tab Delimited'.
  • Do not select 'Compress File'.
  • Click 'Next'.
  • In the drop-down menu at the top left select 'TrendSheet 4'.
  • Check the box for 'Include Column Headers' and click 'Next'.
  • Save the file (or it may save automatically depending on your browser settings) by whatever name and to whatever folder you prefer.
