Creating a Custom Export for use in the SABOR system - ConnectMLS

  • First thing you'll need to do is get into ConnectMLS.

  • Hover over Reports and click on 'Custom Reports'.

  • Then you'll click 'Add New Report'.

  • Verify that for 'Property Type' you select 'Residential' and name the report 'TrendSheet 4'. Click HERE for instructions on the condominium setup.

  • Then you'll go through the list on the right and remove all of the fields except for 'MLS #' and 'Status' by clicking on each one and then clicking on the 'move left arrow' which looks like this: '<-'.

  • Then you'll add the following categories from the left window to the right window using the 'move right arrow' which looks like this: '->'.

  • The final list on the right should look like this and the fields must be in this order:

    • MLS #

    • Status

    • List Price

    • Sold Price

    • Status Date

    • List Date

    • Closing Date

    • Days on Market

    • Contract Date

    • Miscellaneous

    • Potential Short Sale

    • Square Feet

    • # of Stories

    • Year Built

    • Pool

    • Pool/Spa

    • Seller Concessions

    • Seller Concessions Description

    • Lot Size (Acres)

    • Bedrooms

    • Full Baths

    • Half Baths

    • Garage Parking (SKIP THIS FOR THE CONDO SETUP)

    • Additional/Other Parking (SKIP THIS FOR THE CONDO SETUP)

  • Once the list is complete and in the above order click 'Save'.

  • Be sure and do this process for condominiums as well using the condominium list (click here for the condominium instructions).

 

How to Export your Data

  • Verify that the search you are exporting includes every type of listing EXCEPT RENTALS (all active and all off-market excluding leased) for at least one year back from the effective date you're using. The further back you go the more likely you are to include pertinent data. I recommend going 2.5 years back since TrendSheet 4 analyzes two years of data at once.

  • Once you are in the results screen of your search click the 'Export' button which is a picture of a folder with a down arrow on it.

  • Verify that 'All listings' is selected and click 'Next'.

  • Click the drop-down box on the 'All fields in this report' line, choose 'TrendSheet 4', then click 'Next'.

  • In the 'File format' verify that 'Tab-delimited text' is chosen then click 'Continue'.

  • Save the file as whatever name and to whatever folder you prefer (depending on browser settings you may not be given the option to choose the name and location).

The last thing to do is copy and paste the data from the export into TrendSheet 4. If you need help with this please check out our video below on the topic. When you open your file that was downloaded from your MLS system it may say the file is in a different format and ask if you are sure you want to open it. Just choose 'Yes'. 

In this MLS if your computer gives an error when trying to open the downloaded file, it will given an option for you to choose which program to open the file with. Choose 'Notepad'. Your computer will save this setting and you will only have to choose that 'Notepad' once.
